Council Meeting Minutes

Facilitator:  Gale Logan

Secretary:  Stephanie Spurlock

Present: All

Patron Input

Rebecca Smith reported that an OXB patron expressed his concern about the distribution of the Lane Library’s materials collections.   His concern is about the number of materials housed at FFB compared to other locations.  Rebecca will respond that the percentage of materials is based on population.  His comments will be taken under consideration as the library moves forward.

Rebecca reported that a member of an Oxford garden club was concerned that materials donated to OXB will not be permanently housed there due to floating collections.  Council agreed that collections will continue to float.

Staff Input

Council discussed comp time as a result of a staff member’s inquiry.  Managers typically work between 180 and 200 hours per month (staff work about 150 hours per month).  Because comp time has a 22.5 hour cap, managers do not get these hours back.  They are already working a number of hours without any additional compensation.  Based upon these facts comp time will stand.

Old Business

Miss Essman provided an update concerning the library levy.  She announced that the Edgewood City Schools plan to have a levy on the May 4, 2010 ballot.  This will have little to no impact on the library levy.  The Hamilton-Fairfield Friends of LPL and the Oxford Friends of LPL each donated $2,000 towards the levy campaign.  A meeting to discuss the levy with Journal News editorial staff is scheduled for March 15.  The Levy Committee is working on campaign details. They also want to make everyone aware that donations are not tax deductible.

Rob Carringer reminded managers to update the LPL Weather Tree as needed.

New Business

Gale Logan shared information about a Miami University Spanish Language class for librarians.

Rob announced that the February 26, 2010 pay checks would not arrive in Friday’s delivery.  LAC staff will deliver them in the afternoon.  This is due to the short turnaround time for transmitting payroll.   Staff members with direct deposit are encouraged to verify their pay has been deposited prior to spending it.  Library staff members still receiving pay checks are encouraged to enroll in direct deposit.

Rob Carringer announced that a supply of library cards will be ordered in 2010.  He asked that managers submit suggestions for changes by March 1, 2010.

Council discussed procedures for returning non-owned Lane Library materials to their owning libraries.   Council determined that HamiltonCitySchools and Middletown Library materials will be sent to LPL.  Items belonging to Miami University King Library and TalawandaSchools will be sent to OXB.  Fairfield City Schools’ library materials will be sent to FFB.  Cincinnati Public Library materials will be sent to the M.O.R.E. clerks at LAC.  They will return items via U.S. Cargo.  All other materials will be sent to Rob’s attention.  Business Office staff will package them for return.

Chip announced a change in Lane’s Know-It-Now shifts.  Effective Thursday, February 18, 2010 Lane staff will provide service between 1:00 p.m. and 4:00 pm.  Chip also mentioned the possibility of using KIN rather than Meebo for local online reference service.  Chip will look into this.

Other:

Chip announced that the Staff Picks on the LPL website will be reviewed after 3-6 months to determine if this will continue.

Carrie Mancuso announced that the Hamilton-Fairfield Friends of LPL annual meeting is scheduled for March 20, 2010 at Hamilton.  Branch managers are encouraged to attend.

Miss Essman is the guest speaker.

Miss Essman stated that Branch Managers must regularly check the collection development spreadsheets to verify that selectors are spending their monthly allocations.
